Do you produce hybrid conferences?

Absolutely. But we don't just point a camera at the room and hope for the best. We design two distinct experiences: one in the room, one on screen. Both need to stand on their own, and together they need to build a real community. That means separate technical productions for each.

Can you handle speaker booking?

Yes, and we brief them thoroughly. The best speaker in the world is useless if they're talking past the point. We make sure every piece of content serves the event's strategy and supports the day's overall arc.

How much lead time do you need to plan a conference?

For a large annual conference (500+ attendees): 6-9 months. For a mid-size industry event (100-300 people): 3-6 months. For a small leadership forum (20-60 people): 6-8 weeks. Quality takes runway, especially when venues and external speakers are involved.

What does a professionally produced conference cost with PIRATEx?

It depends heavily on format, scale, and ambition. A single-day meeting format starts at around €15,000. A fully produced annual conference with a custom stage, technical production, speaker booking, and catering can run €80,000 and beyond. We'll give you a realistic read after a short briefing call.

What can we cut without sacrificing quality?

Plenty. Expensive giveaways, thick printed programs, the traditional stand-up-table break: all of that can go. What you should never cut: strong moderation, clean tech, and thoughtful dramaturgy. That's the difference between a conference and an event people are still talking about months later.
