Great   events   don't   happen   by   chance.   They   are   conceived.

It starts with the idea. What it becomes is decided by the concept. We develop event concepts that deliver against business goals – and leave a lasting impression on attendees.

The Foundation

What a strong concept
has that a run-of-show doesn't.

A run-of-show says when something happens. An event concept answers why it happens – and what effect it should achieve.

The concept is the strategic foundation of your event: it connects business goals with emotional storytelling, defines the role of every programme item and ensures that attendees don't just show up – but take something away.

Events are emotion. The strategy behind them is mathematics.

We combine both: the creative courage to stage moments with the entrepreneurial clarity about goals, audiences and metrics.

The Elements

What makes a concept
complete.

We work with six elements that together distinguish an event from a mere gathering.

01

Storyline & Guiding Idea

Every strong event has a question it answers, a tension it resolves, a story it tells. The guiding idea is the thread that holds everything together – from the invitation to the afterglow.

02

Dramaturgy & Arc of Tension

We build events like directors: with an opening, a climax, turning points and a close that stays with you. Not a random programme, but a staged experience architecture.

03

Speaker Curation

Speakers are not agenda items. They are ambassadors. We find, brief and prepare speakers – so they not only talk, but read the room and move it.

04

Attendee Journey

The event does not start on the day of the event. It starts with the first invitation and ends with the last post-event touchpoint. Every step is an opportunity to build trust.

05

Storytelling & Content Strategy

What happens after the event? Those who don't plan content strategically lose the moment. We factor in recap, social content, thought-leadership formats and follow-up communications from the start.

06

Format & Modularity

Keynote, panel, workshop, fishbowl, world café – each format generates a different energy. We select and combine formats so the programme breathes and attendees stay actively engaged.

Speaker Curation

Speakers who
read the room.

Choosing the right speakers is one of the most important conceptual decisions. The biggest name doesn't win – but the one who fits the storyline, the audience and the energy of the event.

Define speaker profile

In the concept we establish which topics, perspectives and formats are needed.

Research & outreach

We have a broad network and know who to approach – and how.

Briefing & preparation

We prepare speakers so they don't just talk, but contribute to the overall dramaturgy.

Storytelling & Content

The event ends.
The content stays.

Those who think about content strategy only after the event lose the moment. We plan recap, social content and thought-leadership formats from the start – as part of the concept, not an afterthought.

Pre-event content

Teasers, speaker announcements, behind-the-scenes – build anticipation.

Live communications

Social media moments, quotes, live updates for those who aren't there.

Post-event content

Aftermovie, recap articles, key takeaways, follow-up communications.

The Process

How we develop
your concept

No standard presentations. We develop concrete, individual results in a structured process.

The Vision Paper

Your individual concept guide includes:

  • Clear event goals and KPIs
  • In-depth audience analysis
  • Storyline and guiding idea
  • Dramaturgy, arc of tension and programme structure
  • Speaker profile and requirements description
  • Recommendations for formats and interaction design
  • Content strategy for before, during and after the event
  • Budget indication and next steps
01

Pre-Brief

A kick-off conversation in which we understand your situation, goals and constraints. What is already clear, what is open, what is critical?

02

Individual Agenda

We create a workshop plan tailored exactly to your event and your challenges – no off-the-shelf agenda.

03

Concept Workshop (2–3 hours)

An intensive session – virtual or in person – in which we develop storyline, dramaturgy, speaker profile and attendee journey together.

04

The Vision Paper

Your comprehensive concept guide: goals, audience analysis, storyline, dramaturgy, format proposals, speaker requirements, budget indication and next steps.

05

Optional Implementation

We remain at your side as a full-service partner – from speaker acquisition through production to post-event follow-up.

„Mit PIRATEx haben wir einen agilen Partner an unserer Seite gehabt, um ein innovatives, hybrides Event umzusetzen. Insbesondere vor Ort haben wir von der Agilität und dem lösungsorientierten Handeln durch PIRATEx stark profitiert. Ein Schlüssel des Erfolgs des Events war, dass PIRATEx mit unserer Crew wie ein großes Team zusammen gearbeitet hat und nicht, als wären wir zwei verschiedene Parteien."

CONCEPT / FAQ

Questions about the Event Concept

What is the difference between an event strategy and an event concept?

The strategy defines the "Why, For Whom and Which Format" – for a whole year or an event series. The concept goes deeper into a specific event: storyline, dramaturgy, speakers, attendee journey. Strategy first, concept second.

Why do I need a written event concept?

It's your blueprint. Without a clear concept you risk budget going past your goals, speakers not fitting the storyline and attendees going home without an impression. A concept provides orientation for everyone involved.

Who is the concept consultation suitable for?

For companies, associations and event managers who face the challenge of developing a new event or fundamentally rethinking an existing format.

Do you also take on speaker acquisition?

Yes. After we have jointly defined the speaker profile in the concept, we can also handle the research, outreach and preparation of speakers.

What do I need to prepare?

Not much. You will receive a short questionnaire from us in advance. The most important thing: come to the workshop with an open mind and be ready to challenge assumptions.

How long does the concept creation take?

The workshop itself takes 2–3 hours. The Vision Paper is typically ready within 5–7 working days after the workshop.
