Customer Roundtable

A   good   conversation   takes   more   than   a   shared   table.

When customers share their experience with each other, the conversation goes somewhere a presentation cannot. We find the question that connects your guests, shape the setting and facilitate an exchange with room for different perspectives.

A customer roundtable is a facilitated peer discussion around one shared challenge. Guests compare approaches, question assumptions and contribute their own experience. PIRATEx shapes the topic, discussion and host role. Your team invites people through its existing customer relationships and follows through on agreed actions.

What should your guests take away?

You want to bring together customers who can learn from each other. They should be able to ask their own questions, compare real experiences and leave with something worth thinking about. The difference lies in who is in the room, a question drawn from their working lives and a facilitator who probes without taking over.

Experience bringing customers into the room

The Figma project shows our experience planning and delivering customer events. For your roundtable, we separately agree facilitation, permitted notes and how contributions may be used.

Figma EMEA Exec Roadshow

The task
Figma brought customers and employees together in Frankfurt for dinner, presentations and discussion.
Our role
Project management, concept consulting, venue and catering, on-site coordination and recording stage discussions for later communication.
Why it matters here
A useful customer exchange needs a considered setting and clear host coordination. A confidential roundtable has different recording and facilitation decisions, agreed for your brief.

See the conversation from your guest’s seat

Illustrative discussion design, not a client case or a fixed-duration package. The topic and sequence are developed with your team.

Reason to accept
Compare how peers handle a challenge you are already working on. Bring a practical question, not a prepared presentation.
Opening question
What has made it difficult to turn a promising pilot into everyday work in your team?
Facilitated exchange
The facilitator asks for specific experiences, explores differences and makes space for quieter participants. The host contributes without turning the discussion into a product pitch.
Useful close
Guests name a practice worth trying or a question still open. The group agrees which points can be recorded and who owns any follow-up.
Permitted summary
An agreed outline can contain themes, different approaches, open questions and actions with owners. Named quotes, public content and recordings require explicit prior agreement.

Prepare the exchange, not just the room

  1. 01

Find the question guests care about

We test the proposed topic against the customer group and the occasion. A product message alone is not a reason for peers to join.

  2. 02

    Prepare guests and host

You select and invite the customers. We develop guest criteria, invitation copy, the discussion guide and host brief within the agreed scope.

  3. 03

Agree the conditions for speaking openly

Before invitations go out, we settle recording, note-taking, attribution, permitted sharing and who receives the summary. These rules must be clear to guests.

  4. 04

    Facilitate and hand over

We host the agreed discussion and deliver the permitted summary. Your team owns account follow-up; feedback asks whether the exchange was useful to participants.

What shapes the conversation

Topic and participant value

We define the shared question and the reason guests should invest their time. One clear purpose keeps the discussion focused.

Guest criteria and invitation draft

You receive criteria for a suitable group and draft invitation copy. Your team selects the people, sends invitations and manages responses.

Discussion guide and host brief

Questions, ground rules and roles prepare the session. The brief makes clear when the host contributes and when customers lead the conversation.

Running order and facilitated session

We design the opening, discussion and close, and facilitate the agreed session. Room, technology and hospitality follow the contracted scope.

Agreed discussion summary

You receive only the summary permitted in advance. Open points and agreed next steps go to named owners.

Planning the work together

Who does what?

You own customer relationships, invitations and account follow-up. PIRATEx designs and facilitates the exchange. This format serves customer peer learning. A sales meeting, research study or product presentation needs a different, explicitly agreed brief.

What does the proposal cover?

Before inviting anyone, we agree the topic, guest criteria, participant benefit, duration, host responsibilities and summary. Recording, privacy, confidentiality and permitted sharing are settled in advance. Venue, catering, travel and additional content production are separate quote items. We do not promise attendance or access to particular executives.

What is ready at the end?

Delivery is complete when the topic, guest criteria and responsibilities are agreed, the session has taken place and the permitted summary is handed over. Participant usefulness is assessed separately through the agreed feedback.

Questions before you decide

Who invites the customers?

Your team selects and invites people through its existing relationships and manages responses. We help define who belongs in the conversation and prepare invitation copy. This is not an audience-recruitment or lead-generation service.

Can the conversation be confidential?

We agree the ground rules, recording, notes, attribution and sharing before the invitation. Those conditions are explained to guests. We do not assume consent to record or publish their contributions.

Does it have to be a dinner?

No. The setting follows the purpose, availability and guest needs. Venue, food, travel and technical arrangements are separate scope decisions. A hosted dinner with a lighter conversation may be a better fit for another brief.

What if the guests have little in common?

We review guest criteria and the shared question before confirming the design. If the aim is introductions, a product demonstration or formal customer research, we discuss a different format instead of forcing it into a roundtable.

What affects the quote?

Preparation, research into the topic, session format, facilitation, language, location and agreed documentation. Venue, hospitality, travel and extra content production are identified separately. No attendance or commercial result is guaranteed.

Tell us what you have in mind

What question are your customers working through? Tell us who you would like to bring together and what would make the exchange valuable to them. We explore the topic, guest mix and setting, agree confidentiality and documentation, then develop a proposal and quote.
