Case Study: EXECinsurtech Remote Conference 2020
Description and Goal
EXECinsurtech is Europe’s prime event dedicated to insurance technology and innovation. Bringing together startups, corporates, investors and stakeholders from across the insurance industry, the yearly in-person event had to quickly pivot to a remote setting due to the coronavirus pandemic. PIRATEx worked to adjust the pre-planned in-person programme to a virtual program. We found the shift to digital brought a number of positive surprises– allowing the organizers to expand the global reach of the event considerably. The increased global reach had a number of beneficial outcomes for the event’s participating startups and corporate clients.

Technology and Formats
Due to social distancing guidelines, the technical set-up consisted of a studio and a separate control room. The control room with its video control workstation, controlled by one director, one cutter and four technicians, processed and combined two different camera signals from the studio, two inputs for virtual meetings and pre-recorded content.
The event platform used was Talque, specifically chosen to allow participants to network and connect with one another, and follow the agenda in real time.
Promotion
Given that this was almost a completely new event, the event’s promotion was adapted to accelerate the online marketing budget and increase reach with growth hacking. We utilized a combination of free and paid social media promotion with this event. We found that Google Ads were more effective than Facebook Ads when it came to reach, conversions, and CPC.
Key Outcomes: Avoid signup complexity and use a studio to take your event to the next level
A mixture of studio and remote conference production helps to bring a dynamic look and feel of the event. However, the technical requirements rise significantly when you incorporate a studio. You will need to consider lighting, sound, and camera, as well as appropriate streaming software to incorporate these into your livestream production.
Make the sign-up as easy as possible. Avoid complexity for participants everywhere you can when it comes to the signup process.
Prospective attendees and participants who are unfamiliar with the event brand will require a foolproof explanation of what the product is about. Be transparent with your production’s value-add for the attendee. What can they expect? Who will they meet? How can they participate? Ensure these deliverables are clear and repeatedly shared for highest comprehension and reach.
