Ukraine Conference of North Rhine-Westphalia

The Ukraine Conference of North Rhine-Westphalia was a significant gathering aimed at fostering dialogue and collaboration in support of Ukraine. Held at Flora Köln, the event brought together key stakeholders, policymakers, and experts for a day of discussions and strategic exchange. PIRATEx played a central role in ensuring that every logistical and organizational aspect was flawlessly executed.

Our support began with the creation of a bilingual event landing page in German and Ukrainian, enabling smooth registration and providing attendees with key event details, including the agenda and essential information. From there, we coordinated all operational elements—from catering and conference technology to interpretation services, accommodation, and transportation for guests. Ensuring a seamless experience for international participants, we also facilitated visa coordination for Ukrainian attendees, handling official invitation letters and necessary travel approvals.

On-site, our team managed the guest check-in process and oversaw every logistical detail, serving as the main point of contact for all involved parties. We ensured smooth communication between stakeholders, service providers, and government representatives, aligning every aspect of the event with the high standards expected for such an important occasion.

By integrating meticulous planning with efficient execution, PIRATEx helped create a well-structured and impactful conference—one that fostered meaningful discussions and reinforced North Rhine-Westphalia’s commitment to supporting Ukraine.
